Appointments Officer

Full-Time position (37.5 hours)

Part of the Affidea group, Hillsborough Private Clinic is the leading provider of Ophthalmology, ENT, Podiatry, Gastroenterology, Urology and other services and treatments in Northern Ireland. Working with the top class consultants and surgeons in the country, we are renowned for the Quality care and service we provide.  

We are seeking an Appointments Officer to join our team in Hillsborough. They will be responsible for booking patients for both outpatient appointments and surgical procedures. They will act as the first point of contact for patients regarding the clinical specialties offered within HPC and, therefore, will be required to have a courteous and professional telephone manner, demonstrating proficiency and accuracy within the booking procedure.  This role will also involve administrative duties, including typing and processing of clinical letters. A meticulous eye for detail is required and the ability to work collaboratively as a member of our team.

Responsibilities:

  • First point of contact for patients making an enquiry or wishing to book an appointment.
  • Scheduling patients and the associated administrative duties.
  • Communicate effectively with colleagues from administrative, nursing and medical teams.
  • Liaise closely with reception and outpatient department regarding update/changes to schedule.
  • Respond to email in a timely and efficient manner.
  • Typing and processing clinical letters ensuring all follow-up actions are completed within timeframes.
  • Reception duties.
  • Working within our sister clinic, Orthoderm, as and when required.

Essential criteria:

  • Able to deliver outstanding service and communicate effectively on the phone.
  • Typing skills.
  • Proficient IT skills.
  • Ability to work as a part of a team and use own initiative when required.
  • Attention to detail.
  • A flexible approach to support colleagues when required.
  • Experience of working in healthcare environment is desirable but not essential.
